Job Overview: We are seeking a highly experienced and discreet Executive Assistant to provide confidential support to the President of a top-tier Asset Management firm. The ideal candidate will have a minimum of 12 years of experience supporting C-suite executives and a proven track record of maintaining the highest level of confidentiality and integrity.
This role requires exceptional organizational skills, a 24/7 mentality, and the ability to build strong relationships across all levels of the organization. The Confidential Executive Assistant will play a critical role in ensuring the smooth operation of the President’s office and will act as a trusted advisor and gatekeeper for sensitive matters.

Responsibilities:

Confidential Support: Provide comprehensive and confidential administrative support to the President, including managing calendars, scheduling meetings, and handling sensitive information with discretion.

Relationship Building: Build and maintain strong relationships with internal and external stakeholders, including board members, clients, and senior executives, acting as a liaison on behalf of the President.

One-on-One Support: Conduct one-on-one support to the President, anticipating needs, managing priorities, and proactively addressing issues to ensure their time is optimized.

24/7 Mentality: Maintain a 24/7 mentality and be available to provide support outside of regular business hours as needed, including evenings and weekends.

Communication: Serve as the primary point of contact for the President, screening and prioritizing communications, drafting correspondence, and ensuring timely follow-up on action items.

Meeting Coordination: Coordinate and prepare materials for executive meetings, including agendas, presentations, and briefing documents, ensuring the President is well-prepared for all engagements.

Travel Arrangements: Manage complex travel itineraries, including flights, accommodations, and ground transportation, ensuring efficiency and adherence to company policies.

Event Planning: Assist in planning and coordinating company events, conferences, and executive retreats, handling logistics, budgeting, and vendor management.
Qualifications:

Experience: Minimum of 12 years of experience as an Executive Assistant, with a proven track record of providing confidential support to C-suite executives, preferably within the financial services industry.

Relationship Building: Exceptional interpersonal skills with the ability to build strong relationships and work effectively with individuals at all levels of the organization.

High EQ: Demonstrated emotional intelligence and the ability to navigate complex interpersonal dynamics with professionalism and tact.

Compensation:
- 150K-175K base + bonus
