Job Title: Confidential Executive Assistant

5x in office – Midtown Manhattan

Job Overview: We are seeking a highly experienced and discreet Executive Assistant to provide confidential support to the President of a top-tier Asset Management firm. The ideal candidate will have a minimum of 12 years of experience supporting C-suite executives and a proven track record of maintaining the highest level of confidentiality and integrity.

This role requires exceptional organizational skills, a 24/7 mentality, and the ability to build strong relationships across all levels of the organization. The Confidential Executive Assistant will play a critical role in ensuring the smooth operation of the President’s office and will act as a trusted advisor and gatekeeper for sensitive matters.

Responsibilities:

  1. Confidential Support: Provide comprehensive and confidential administrative support to the President, including managing calendars, scheduling meetings, and handling sensitive information with discretion.

  2. Relationship Building: Build and maintain strong relationships with internal and external stakeholders, including board members, clients, and senior executives, acting as a liaison on behalf of the President.

  3. One-on-One Support: Conduct one-on-one support to the President, anticipating needs, managing priorities, and proactively addressing issues to ensure their time is optimized.

  4. 24/7 Mentality: Maintain a 24/7 mentality and be available to provide support outside of regular business hours as needed, including evenings and weekends.

  5. Communication: Serve as the primary point of contact for the President, screening and prioritizing communications, drafting correspondence, and ensuring timely follow-up on action items.

  6. Meeting Coordination: Coordinate and prepare materials for executive meetings, including agendas, presentations, and briefing documents, ensuring the President is well-prepared for all engagements.

  7. Travel Arrangements: Manage complex travel itineraries, including flights, accommodations, and ground transportation, ensuring efficiency and adherence to company policies.

  8. Event Planning: Assist in planning and coordinating company events, conferences, and executive retreats, handling logistics, budgeting, and vendor management.

Qualifications:

  1. Experience: Minimum of 12 years of experience as an Executive Assistant, with a proven track record of providing confidential support to C-suite executives, preferably within the financial services industry.

  2. Relationship Building: Exceptional interpersonal skills with the ability to build strong relationships and work effectively with individuals at all levels of the organization.

  3. High EQ: Demonstrated emotional intelligence and the ability to navigate complex interpersonal dynamics with professionalism and tact.

  4. Confidentiality: Ability to handle sensitive information with the utmost discretion and maintain confidentiality at all times.

  5. Integrity: Commitment to performing duties with the highest level of integrity and ethical standards.

  6. Organizational Skills: Strong attention to detail, ability to prioritize tasks, and manage multiple deadlines in a fast-paced environment.

  7. Adaptability: Flexible and adaptable to changing priorities and able to anticipate the needs of the President proactively.

Compensation:

  • 150K-175K base + bonus
