Job Description:

Our client is seeking an experienced Office Manager to join their team. The Office Manager will have a broad range of responsibilities in the areas of human resources, facilities, events planning and vendor management for the management company. The Office Manager will work closely with the leadership team to ensure the efficient and reliable provision of support services to investment professional staff, manage various third-party vendor relationships, oversee facilities functions and coordinate important events.

Job Requirements:

  • Bachelor’s degree;
  • 8+ years’ experience with office management function at financial services firm;
  • Experience in human resources;
  • Compliance experience a plus, but not necessary;
  • Ability to work in a strong team environment

Job Responsibilities:

  • Oversee, manage and support and administrative staff
  • Interaction with co-employment agency regarding HR and immigration compliance
  • Employee onboarding and offboarding
  • Benefit administration
  • Organize employment law compliance elated training sessions
  • Create an optimal working environment by identifying staff needs (gym memberships, offsites, community service opportunities)
  • Travel management and working with the firm’s external travel consultant/advisors
  • Own all aspects of the physical office space including rent, utilities, furniture and fixtures, real estate agents, following office lease market developments, building manager (RFR))
  • Office design and construction projects (dealing with vendors on budgeting, obtaining quotes, payments, etc.)
  • Staffing of cleaning and sanitation companies (e.g., on public holidays), feedback on quality of work
  • Mail room, couriers and messengers
  • Sensitive document destruction services (e.g., Brinks)
  • Internal catering services (Seamless Web, alternative vendors)
  • General Office Supplies (office inventory, shredder, cannon copier, printers)
  • Work with Building Manager (RFR) on Emergency Planning, evacuation planning, emergency drills, etc.
  • Work with the compliance team on document requests, monitoring compliance calendar, compliance training.
  • Review and approve monthly T&E expense reports (Concur)
  • Collect and track all third-party vendor invoices
  • Process internal payment approvals and deliver accounts payable
  • Assist in opening/closing bank accounts and banking relationships
  • Assist in various tax compliance related procedures for client and its related companies
